Privacy Policy

MeadowLantern LLC ("MeadowLantern," "we," "us," or "our") is a Washington limited liability company. This Privacy Policy describes how we collect, use, and share information in connection with the MeadowLantern platform, including agent-branded client applications, agent and group workspaces, presentation pages, brokerage dashboards, the vendor marketplace, and our websites (collectively, the "Platform").

1. A Note About the Brand You See

The Platform can be presented under different brands. If you are a home buyer or seller, the app you use may carry your real estate agent's name, branding, and content, or may appear under MeadowLantern's own brand. In either case, it is built, hosted, and operated by MeadowLantern, Inc. Your agent (or the agent group they belong to) is our customer and controls the content you see, the vendors recommended to you, and the information entered about your transaction. Where agent branding is applied, "Powered by MeadowLantern" appears in the footer of client surfaces to reflect this relationship.

2. Our Two Roles

We handle personal information in two distinct capacities, and your rights may route differently depending on which applies:

  • MeadowLantern as the business (controller). For information about agents, groups, brokerages, vendors, and website visitors, and for client account data we maintain to operate the Platform itself (such as login credentials and platform usage events), MeadowLantern determines how and why the information is processed.
  • MeadowLantern as a service provider (processor). For information your agent enters about you and your transaction (your name, your deal, your schedule, notes, and similar records), we process that information on behalf of and at the direction of your agent's group. Your agent's group is responsible for that data, and requests concerning it will generally be routed to or fulfilled in coordination with your agent.

If a client's relationship with their agent ends and the client retains their Home Hub (see Section 9), MeadowLantern becomes the controller of the surviving Home Hub data from that point forward.

3. Information We Collect

3.1 Agents, Group Leads, and Assistants

  • Name, email address, phone number, professional title, headshot, license and brokerage affiliation
  • Group information: group name, branding assets (logo, colors), subdomain or custom domain, presentation-page content
  • Billing information (processed by our payment processor; see Section 7)
  • Content entered into the Platform: deals, journey steps, schedule items, notes, vendor records, courtesy records, and internal tasks
  • Platform usage and session data

3.2 Clients (Buyers and Sellers)

  • Name and contact information, including email address and mobile phone number (typically provided by your agent to create your account before you claim your invitation)
  • Property information: the address and details of a home you are buying, selling, or managing through the Platform, including Home Hub properties, used, among other things, to match you with vendors whose service area covers your location
  • Preferred language, used to present the Platform appropriately and to match you with agents or vendors who can serve you in your language
  • Deal participation records: which transaction(s) you are part of, your role (primary or co-client), the transaction phase, and its lifecycle status
  • Schedule items, showings, and any feedback you submit
  • Reviews, testimonials, and private feedback you choose to provide
  • Checklists and other engagement activity within the app
  • Home Hub content you create or retain: home details, maintenance records, paint colors, vendor references, and similar entries
  • Device, session, and usage information (see Section 3.5)

What we do not collect from clients. The Platform is designed so that clients are never asked to provide financial figures or financial documents. We do not collect income, loan amounts, purchase-price offers, bank information, or pre-approval letters from clients. Pre-approval, where tracked, is recorded by your agent as a simple status indicator only. We do not host your transaction documents by default; where documents appear, they are links to where those documents already live.

Door and lockbox codes. Access codes your agent shares with you are encrypted at rest and revealed only to authorized transaction participants. Each access to a code is logged.

3.3 Brokerages and Broker Users

  • Brokerage name, business contact information, and authorized user credentials
  • Dashboard usage data

Brokerage dashboards display computed aggregate metrics only (such as deal counts, closed volume, averages, and pipeline figures) for groups affiliated with the brokerage. Brokerages do not receive access to individual deals, client identities, property addresses, agent financial records, or agent courtesy records, and the Platform's database architecture does not grant brokerage accounts access to those underlying records.

3.4 Vendors

  • Business name, trade category, contact information, and related business details, whether entered by an agent maintaining their vendor list or provided by the vendor directly in connection with marketplace participation or advertising
  • For advertising vendors: billing information and advertising account details

Agent–vendor relationship confidentiality. A vendor may appear in the MeadowLantern marketplace and also appear in one or more agents' private vendor lists. We do not disclose to vendors which agents maintain them on their lists, and we do not disclose agent–vendor or client–vendor associations to other Platform participants, except as directed by the agent within their own branded surfaces.

3.5 Information Collected Automatically

  • Invitation and engagement events: when an invite link is opened, when an account is claimed, and similar lifecycle events (these are visible to your agent)
  • App and website usage: pages and features used, session information, device type, operating system, browser, IP address, and approximate location derived from IP
  • Log and diagnostic data
  • Cookies and similar technologies on our websites (see Section 12)

We maintain an append-only event log of significant platform actions for security, auditing, and service-quality purposes.

4. How We Use Information

  • To provide the Platform: operating agent workspaces, client apps, scheduling, notifications, and the Home Hub
  • To match participants: comparing a client's property location against vendor service areas, and using preferred language to connect clients with agents or vendors who can serve them appropriately
  • To authenticate users: including one-time passcodes sent by SMS where phone-based login is used (see Section 5)
  • To operate the business: billing, account management, support for agents and groups, and enforcement of our terms
  • To measure and improve the service: including aggregate metrics such as client activation and engagement, product analytics, and service diagnostics
  • To communicate: service and transactional messages to all users; marketing communications to agents, groups, brokerages, and vendors (see Section 11)
  • To display sponsored placements: where vendors purchase marketplace advertising (see Section 8)
  • For safety, security, and legal compliance: fraud prevention, abuse detection, audit logging, and compliance with law and legal process

We do not use client transaction data to build advertising profiles of clients, and we do not sell personal information as "sell" is defined under applicable state privacy laws.

5. Text Messages and Phone Authentication

The Platform may use your mobile phone number to authenticate you, including via one-time passcode (OTP) sent by text message; in some cases other sign-in methods may be offered or used instead. Where phone-based authentication is used, by requesting a passcode you consent to receive authentication text messages. Message and data rates may apply. Authentication SMS is currently supported for U.S. phone numbers only.

Your agent sends your initial invitation personally from their own device; MeadowLantern does not send invitation text messages on an agent's behalf.

If we introduce non-authentication notification texts, they will be sent only with appropriate consent and will include opt-out instructions (reply STOP). Opting out of notifications does not affect authentication messages required to access your account.

6. How Information Is Shared Within the Platform

Access inside the Platform is governed by role-based permissions enforced at the database level:

  • Within a group: group leads and agents can access the group's shared book of business. Assistants can access only the deals assigned to them, limited to operational information; assistants have no access to financial records anywhere on the Platform.
  • Agent to client: your agent controls what appears in your app, including whether a vendor's contact details or ratings are shown, and whether the fact of an agent-provided courtesy is displayed. Where an agent covers a cost on a client's behalf, the amount of that cost is never displayed to the client.
  • Client to agent: your agent and their group can see your deal activity, schedule, feedback, and engagement events (such as when you opened your invitation).
  • Brokerages: aggregate metrics only, as described in Section 3.3.
  • Co-clients: participants on the same deal (for example, spouses) can see the shared deal.

7. Service Providers and Other Disclosures

We use third-party service providers, selected at our discretion, to help us provide the Platform: for example, providers of hosting, database, and infrastructure services, communications delivery, payment processing, and analytics. These providers process information on our behalf under contractual restrictions and only as needed to perform their services for us. We do not store full payment card numbers; payments are handled by our payment processor.

When you use optional address autocomplete, Google Maps Platform may process your address query and technical request information to return place suggestions. Google's processing is governed by the Google Privacy Policy. We store the address you choose and its Place ID with the event; you may enter an address manually instead.

We may also disclose information: to comply with law or legal process; to protect the rights, safety, and property of MeadowLantern, our users, or others; in connection with a merger, acquisition, financing, or sale of assets (in which case this Policy will continue to apply to previously collected information until modified); and with your direction or consent.

8. Vendor Marketplace and Sponsored Placements

The Platform includes vendor listings and may include a vendor marketplace. Some vendor placements are paid advertising: vendors may pay MeadowLantern a fee for placement within their trade category. Sponsored placement is limited to non-settlement-service trades; providers of settlement services (such as mortgage, title, escrow, insurance, and home warranty) are not eligible for paid placement.

Paid placement does not constitute an endorsement by MeadowLantern or by your agent, and payment does not entitle a vendor to appear within any particular agent's branded surfaces. Agents control the vendor recommendations shown under their own brand. Some links on the Platform may be affiliate links, meaning MeadowLantern may earn a commission if you make a purchase through them. We will not disclose to marketplace vendors the identity of clients who view their listings; a vendor learns of you only if you choose to contact them.

9. When an Agent–Client Relationship Ends: the Home Hub and Agent Directory

Home Hub records are personal records of a client's home and are designed to remain with the client. If the relationship between a client and their agent ends (because the agent's group leaves the Platform, the group removes the client, or the client chooses to disconnect), the client's Home Hub and its contents survive under the client's own account, presented under MeadowLantern's neutral branding rather than the former agent's brand. From that point, MeadowLantern is the controller of the surviving Home Hub data.

After such a separation (and only after), the Platform may make available to that client a directory of participating real estate agents, should the client wish to establish a new agent relationship. MeadowLantern does not charge anyone for, and receives no compensation in connection with, introductions made through this directory; it is not a party to any resulting relationship and makes no endorsement or representation regarding any listed agent. The directory is not presented to a client while an agent relationship is active.

Transaction records associated with the former agent's group remain that group's business records and are handled under the group's retention and export terms (see Section 10).

10. Retention and Deletion

  • Client accounts and sessions: we use long-lived sessions so you are not repeatedly asked to log in; you may sign out at any time, and your agent's group can revoke access.
  • Active data: we retain information for as long as needed to provide the Platform and as required for the purposes above.
  • Group departure: when an agent group's subscription ends, the group has an export window for its business data, after which group business records are deleted or de-identified on a scheduled basis, except that (a) client-owned Home Hub data survives as described in Section 9, (b) append-only audit events may be retained in de-identified or aggregate form, and (c) records may be retained as required by law or for the establishment or defense of legal claims.
  • Home Record transfer at sale: if the Platform's home-record transfer feature is available and a selling client chooses to use it, a snapshot of home-related records selected and approved by the seller may be transferred to the home's next owner. Transfer occurs only with the seller's explicit approval of the snapshot contents, and personal, financial, and access-code information is excluded from transfer.
  • Deletion requests: see Section 13.

11. Marketing Communications

We may send marketing and product communications (such as newsletters, feature announcements, and offers) to agents, groups, brokerages, and vendors. You may opt out at any time using the unsubscribe link in those messages or by contacting us. We do not send marketing communications to clients on behalf of MeadowLantern; communications clients receive through the Platform come from or are configured by their agent.

Opting out of marketing does not affect service and transactional messages.

12. Cookies and Website Analytics

Our public websites use cookies and similar technologies for essential functionality and analytics. You can control cookies through your browser settings. The client application does not use third-party advertising cookies.

13. Your Privacy Rights

Depending on your state of residence, you may have rights to access, correct, delete, or obtain a copy of your personal information, and to opt out of certain processing. Residents of Washington, California, Colorado, Connecticut, Virginia, and other states with comprehensive privacy laws may exercise applicable rights as follows:

  • Agents, group personnel, brokerages, vendors, and post-separation clients: contact us directly at privacy@meadowlantern.com.
  • Active clients: because transaction data is controlled by your agent's group, requests concerning it should be directed to your agent; we will assist your agent's group in fulfilling verified requests. Requests concerning your MeadowLantern account itself (such as login data) may be directed to us.

We will verify requests using information associated with your account. We will not discriminate against you for exercising your rights. If we decline a request, you may appeal by replying to our decision, and where applicable law provides, you may contact your state Attorney General.

Washington residents: if the Platform ever processes consumer health data as defined by the Washington My Health My Data Act, we will provide the disclosures and obtain the consents that law requires. The Platform is not designed to collect health data.

14. Security

We use administrative, technical, and physical safeguards designed to protect personal information, including row-level security enforced in our database as the primary access-control model, encrypted storage of access codes, encrypted transmission, hashed single-use invitation tokens, audit logging, and role-scoped database permissions that structurally prevent restricted roles from accessing financial records. No system is perfectly secure, and we cannot guarantee absolute security.

15. Children

The Platform is intended for users 18 and older. We do not knowingly collect personal information from anyone under 18. If you believe a minor has provided us information, contact us and we will delete it.

16. Changes to This Policy

We may update this Policy from time to time. If we make material changes, we will notify users through the Platform or by other reasonable means before the changes take effect. The "Last updated" date reflects the current version.
